POSITION SUMMARY:
The Senior Project Management Analyst (Sr. PMA) is a key member of Project Management Services department. This role provides a full range of administrative, coordination, and project management support to the five Hospitals and three Ontario Health Teams in the Erie St. Clair region. This role oversees the documentation needs of projects to support overall governance and effectiveness of the project while following best practices, principles and templates for managing projects. They are responsible for managing, tracking and reporting the progress of complex projects.
Skills
WE VALUE:
• Project Management Professional (PMP) or Certified Associate in Project Management (CAPM) designation or equivalent an asset
• Certified Scrum Master, preferred
• Healthcare related project experience an asset
OTHER CONDITIONS:
• Minimal exposure to disagreeable conditions typical of an office position: exposed to stress and pressure associated with multiple priorities and deadlines
• Must be able to travel within the Southwestern Ontario area, when required
• Must be able to work evenings and weekends, when required
Qualifications
MUST- HAVES:
• Minimum three (3) year University or College degree or equivalent experience in project planning/management
• Minimum four to six (4-6) years’ experience project management experience executing best practices, policies, procedures, and processes
• Experience with project management software (SharePoint and MS Project) and Microsoft Office products, such as Word, Excel, PowerPoint, etc.
• Experience generating reports and reporting work assignment progress
Responsibilities
Coordinating processes, systems/tools and ensuring governance and reporting is actioned to the Project Managers and Leads.
• Maintain documentation & knowledge management of all project management systems, processes and platforms (including SharePoint and PPM tools) champion best practice.
• Compiling and data analysis of project related information for
various stakeholders within the organization to help guide their decision-making.
• Maintain processes to ensure project management documentation, reports & plans are accurate and complete
• Track, monitor and report on project portfolio performance, providing a real-time, comprehensive and prioritized view of all projects, flagging deviations or risks
• Assist in compiling status reports, slide decks, project roadmaps and any related material
• Produce project portfolio performance reports for distribution to key stakeholders
• Assist in the creation of any required ad hoc reports and/or communications
• Day-to-day management of project management applications (SharePoint, Project, etc.)
• Conduct or organize training of project management applications/system to new users
• Provide administrative support to the team with meeting preparations, meeting minutes, capturing decisions, actions and update PMO systems accordingly
• Act as a reference point for project queries and information
• Responsible for determining the appropriate priorities for administrative supports within the program area and dealing with multiple, often conflicting demands
• Lead the PA team in day to day operations in conjunction with the Manager
• Provide training and guidance to ensure successful performance outcomes align with goals, objectives and expectations of the PA role and the project.
• Delegate tasks and duties as required
• Ensure performance benchmarks are met through timely and effective coaching and course correction, providing manager insight for evaluations
• Promote team building to optimize continuous employee engagement
• Respond to and escalate performance concerns, issues and problems
• Ensure confidentiality of employee and business information is secured
