POSITION SUMMARY:
The Project Assistant (PA) is an integral member of the Technology Support Team who collaboratively supports the team in all aspects of project implementation for a successful adoption of new services and/or products that TransForm provides. The PA role focuses on the consistent flow of current, accurate, and usable information amongst the key stakeholders.
WHAT YOU’LL DO:
- Track and monitor progress of regional implementation and adoption activities and flag any deviations from plan.
- Track and monitor achievement of adoption targets and provide regular updates.
- Validation of portfolio-level reporting before alerting senior leadership of its availability.
- Assist in establishing a standard process for collection of regular updates.
- Engage with project stakeholders to schedule and conduct interviews.
- Collaborate with the project team to propose optimized folder structures in Microsoft Teams/SharePoint.
- Schedule migration activities in coordination with IT and departmental teams.
- Monitor migration progress to ensure successful transfer of files.
- Validate post-migration folder structure and file integrity with department managers.
- Track and report on migration status, issues, and resolutions.
- Reporting on status of assigned projects.
- Forecasting future resource capacity based on resource projections.
- Ensuring the timely entry and updating of data by the various process owners and reporting on deficiencies in that currency to Transformation leadership.
- Maintain and update project repository with required tracking information.
- Assist in the creation of any required ad hoc reports and/or communications.
- Other duties as assigned.
MUST- HAVES:
- Minimum three (3) year College Diploma or University Degree relative to information technology, health sciences, business administration or equivalent work experience.
- One to two (1-2) years project related planning/coordinating and/or IT support experience
- Experience establishing and maintaining effective relationships with clients, vendors, and team members
- Experience handling confidential information daily with the utmost sensitivity
- Familiarity with Microsoft 365 Applications (i.e. Teams, SharePoint, Office Apps)
- Preferred Post-Secondary Education in project management
WE VALUE:
- Healthcare workflow/process transformation and/or IT related experience an asset.
OTHER CONDITIONS:
- Minimal exposure to disagreeable conditions typical of an office position: exposed to stress and pressure associated with multiple priorities and deadlines
- Must be able to travel within the Southwestern Ontario area, when required
- Must be able to work evenings and weekends, when required
