WEtech Alliance is one of seventeen Regional Innovation Centres, funded by the Province of Ontario, serving the Windsor-Essex and Chatham-Kent regions. Position Summary
Reporting to the Manager of Events within the Marketing & Events Department, the Events Coordinator supports the planning, coordination, and delivery of WEtech Alliance’s educational programming, networking events, signature events, accelerator activities, and community outreach initiatives.
Working closely with the Manager of Events, and collaboratively across departments, this role coordinates event logistics, participant experiences, and operational execution to ensure high-quality events that advance WEtech Alliance’s mission.
At WEtech Alliance, many of our programs and services are delivered through events. From educational workshops and accelerator programming to networking events, conferences, pitch competitions, community outreach initiatives, and signature experiences, the Events Coordinator ensures every event is executed with professionalism, impact, and exceptional attention to detail.
The successful candidate is highly organized, proactive, relationship-focused, and passionate about creating impactful experiences while supporting entrepreneurs, founders, partners, sponsors, and the broader innovation community. As a community ambassador for WEtech Alliance, this individual helps ensure every interaction reflects our values of founders first delivery, collaboration, innovation, and community impact.
Responsibilities
Event Delivery & Educational Programming (50%)
- Working under the direction of the Manager of Events, the Events Coordinator supports the successful execution of WEtech Alliance’s events and educational programming by coordinating logistics, participant experiences, vendors, speakers, and onsite operations.
- Support both in-person and virtual event delivery.
- Coordinate speakers, facilitators, mentors, judges, exhibitors, sponsors, volunteers, vendors, and community partners.
- Manage registrations, attendee communications, confirmations, waitlists, and participant tracking.
- Prepare event agendas, presentations, signage, name badges, speaker materials, participant resources, and event supplies.
- Coordinate venue logistics including catering, audiovisual requirements, room layouts, accessibility, photography, videography, transportation, and event flow.
- Support onsite event execution, coordinate event logistics, troubleshoot operational issues, and assist with post-event wrap-up.
- Coordinate sponsor recognition and ensure partnership commitments are fulfilled.
- Maintain event timelines, run sheets, checklists, and standard operating procedures.
- Assist in identifying opportunities to continuously improve WEtech Alliance’s events and participant experiences.
Client & Event Experience (25%)
- Serve as a welcoming and knowledgeable ambassador for WEtech Alliance during events, educational programming, community outreach, and partner activities.
- Support the delivery of impactful experiences for entrepreneurs, founders, students, mentors, speakers, sponsors, volunteers, and community members.
- Support participant communications before, during, and after events and educational programming.
- Respond professionally to inquiries and connect individuals with appropriate WEtech Alliance programs, services, and resources.
- Build and maintain positive relationships with entrepreneurs, ecosystem partners, educational institutions, government organizations, sponsors, and community stakeholders.
- Represent WEtech Alliance at community events, networking opportunities, and partner initiatives.
- Foster an inclusive, welcoming, and engaging environment that reflects WEtech Alliance’s culture and values.
Event Administration & Operations (15%)
- Maintain accurate participant and event records using HubSpot and other organizational systems.
- Coordinate attendee surveys, attendance tracking, event evaluations, and reporting metrics.
- Support the Manager of Events with budget tracking, purchase requests, invoices, and vendor coordination.
- Schedule planning meetings with internal staff and external partners.
- Maintain organized event documentation using Microsoft 365, SharePoint, Notion, and other organizational systems.
- Support organizational reporting and funder requirements related to events and educational programming.
- Provide recommendations for operational improvements that enhance event quality, efficiency, and participant satisfaction.
- Maintain event inventory, signage, promotional materials, supplies, and event equipment.
- Coordinate event setup, teardown, deliveries, shipping, and storage of event materials.
- Ensure event materials, branding, and supplies are prepared and organized prior to each event.
Collaboration & Community Growth (10%)
- Support the Manager of Events by collaborating with Ventures Services, Marketing, Business Advisors, Growth Coaches, and external partners to deliver integrated events and community initiatives.
- Coordinate with the Marketing team by providing event information, speaker details, participant stories, photography, testimonials, and other content to support promotional activities.
- Assist in identifying opportunities to strengthen entrepreneur and community engagement and increase participation across WEtech Alliance programs and events.
- Contribute ideas that improve organizational processes, event experiences, and community impact.
- Perform other duties that support WEtech Alliance’s mission and strategic priorities.
Essential Skills and Qualifications
- Diploma or Bachelor’s degree in Event Management, Business, Marketing, Communications, Hospitality, Community Development, or a related field.
- Two+ years of experience coordinating events, conferences, educational programming, community initiatives, or client-facing projects.
- Demonstrated passion for entrepreneurship, innovation, community building, and supporting small businesses.
- Strong event coordination, organization, and project execution skills.
- Strong interpersonal, written, and verbal communication skills.
- Excellent customer service skills and a genuine passion for creating exceptional participant experiences.
- Experience coordinating both in-person and virtual events.
- Ability to manage multiple priorities and deadlines within a fast-paced environment.
- Strong relationship-building and networking skills.
- Proficiency with Microsoft 365.
- Experience with HubSpot, Eventbrite, Zoom, Canva, SurveyMonkey, Notion, Constant Contact, or similar platforms is considered an asset.
- Ability to work independently while contributing positively to a collaborative team environment.
- Willingness to work occasional evenings and weekends to support events and community engagement.
- Valid Ontario driver’s licence and access to reliable transportation.
Working Conditions
- 30 hours per week (including 3 days in-office + flexible in-person/remote/hybrid hours).
- Occasional evening or weekend work to support events, stakeholder engagement, or program delivery.
- Travel within Windsor-Essex, Chatham-Kent, and across Ontario as required.
- Must have a valid Ontario driver’s license and access to reliable transportation.
